If I have 2 different detachments but all of my models come from the same army is there any reason to show the breakdown or is it enough for me to show that I have the units necessary to fulfill both detachments. For example: I say I have a brigade of grey knights and a vanguard detachment of grey knights. Do I have to show a breakdown of which unit is where or do I just have to show that I have the minimum requirements for each detachment?

Have a breakdown available, especially if going to a tournament, but overall, no, it doesn't matter much.

The 'official' GW way is to have an Army Roster listing your detachments, then Detachment Rosters.

Thanks for the link but let me ask you, at an event do you bring 4 pages of forms for your opponent and another 4 pages for the EO?

The form only has room for 4 units per page a 2000 point army can easily be made up of 10 or so separate entries. So that would be 3 pages plus the total page.

If that's what's required, then yes. I've been to events where people were passing around 12+ page lists printed from BattleScribe. I've also been to events where the TO accepted the following list:
