how old can an order be to request an replacement part ? because one of my Dkok mortar/artillery crew is missing a foot, i only realised recently as i came to assemble them today

I was missing a stabiliser for my eldar fire prism and didn't notice it at the time of delivery.

It then sat on the shelf for a few months.

When i finally noticed I called them up and the FW guys sent me out a new pair!

I was also ordering a titan at the same time though.

Call them first. They're hit or miss about emails, but phone calls can't really be ignored that well. If you can't call them during normal business hours, leave a message with all your contact info and a description of your problem. They'll usually get back to you asap that way.
